Protection plans let you present insurance and damage-protection options as clear, purchasable products alongside a rental. Each plan has its own title, description, price and pricing mode, so customers can see what is covered and choose the level of protection that suits them before they confirm a booking.
What protection plans are
A protection plan is an option a customer can add to a booking to cover damage or similar risks during the rental. In VEVS Car Rental Software, each plan is a distinct record with a name, a description of what it covers, a price and an icon. The plan is offered at booking time, and the price is charged according to the mode you choose: a single one-off amount or an amount per rental day.
Presenting protection as a product rather than as an unexplained charge has two advantages. Customers can compare options and make an informed decision, and your team can explain the difference between plans without improvising. The description field is where that explanation lives, so it deserves the same care as the price.
Where to find protection plans
In the admin area, open the Prices section in the left menu and choose Protection Plans. The page lists all of your plans with options to add, edit or delete them. Each row shows the plan's Title, its Price with the One-off or Per day mode, the Max price and its Status. Clicking a row opens it for editing, and the action buttons on the right let you manage an individual plan from the list.
The settings on a plan
The form is titled ADD PROTECTION PLAN or EDIT PROTECTION PLAN. The available settings are:
| Setting | Purpose |
|---|---|
| Status | Active or Inactive. Only active plans are offered to customers. |
| Title | The name of the plan as customers will see it. |
| Price | The amount charged, together with the price mode. |
| Price mode | One-off or Per day. |
| Description | The details of what the plan covers, shown to customers. |
| SVG Icon | An icon that represents the plan. |
Because the description is shown to customers, it should state plainly what the plan includes and how it differs from the alternatives you offer. Avoid vague wording that leaves the customer guessing; the description is the place to make the value of the plan tangible. The SVG icon provides a visual cue that helps a plan stand out among the options on the booking page.
How the price is charged
The price mode is the setting that most affects what the customer pays. With One-off, the plan is charged once for the booking, regardless of how many days the rental lasts. With Per day, the plan is charged for each rental day. One-off suits short rentals and simple, predictable offers, while per-day pricing aligns the cost of protection with the length of time the vehicle is exposed to risk.
For per-day plans, you can turn on Set max price and enter a Max price amount. This limits how much the plan can cost in total, no matter how long the rental lasts. A cap is valuable on longer bookings: the customer still pays per day, but the total stops growing once the cap is reached, which keeps a long rental from carrying an unexpectedly large protection charge.
Note: Set max price is available only for Per day plans. A one-off plan already has a fixed total, so there is nothing to cap.
How to add a protection plan
- Open Prices and choose Protection Plans.
- Click Add Protection Plan.
- Enter the Title, Description and Price.
- Choose One-off or Per day, and set a Max price if the plan is per day and you want a cap.
- Click Save.
A confirmation message appears when the plan is saved successfully. At that point the plan is ready to be offered, provided its status is Active.
What happens next
Active plans appear to customers at booking and can be selected as a protection option. The chosen price mode determines whether the customer is charged once or per rental day. Inactive plans stay in your list for reference but are not presented as choices, which lets you retire a plan without deleting its configuration or its place in your pricing structure.
When editing a plan, Notes and History buttons let you add internal notes and review changes. Notes are useful for recording why a plan was priced a certain way, which customer segment it targets or when its description was last reviewed. History gives you a record of what changed and when. Editing and deleting require permission; without it, the page is shown read-only.
Business benefits
Well-presented protection plans do more than add revenue. They give customers confidence, reduce the friction of explaining cover at the counter and create a clear upsell path that staff can follow consistently. Because each plan is a separate product with its own price and description, you can shape a ladder of options rather than a single take-it-or-leave-it charge.
- Clarity for customers: a title, description and icon make each option understandable at a glance.
- Flexible pricing: one-off or per-day charging to match different rental patterns.
- Predictable long rentals: a max price keeps per-day plans from growing without limit.
- Consistent selling: staff present the same options and wording every time.
- Easy maintenance: deactivate, edit and review plans without rebuilding your pricing.
The way a plan is presented also affects how often it is chosen. A short, descriptive title and a description that names the main situations covered help customers recognise value quickly, while an icon makes the option easier to scan. Plans that are priced predictably, especially per-day plans with a maximum, are easier for staff to recommend because the total can be stated with confidence.
Practical use cases
A basic plan with a modest one-off price gives budget-conscious customers a simple way to add a little peace of mind. A premium per-day plan with a higher level of cover and a max price appeals to customers on longer trips who want protection without an open-ended total. A third plan aimed at a specific segment, such as business renters, can be distinguished by its description and icon even if its pricing follows the same structure.
Seasonal adjustments are another common pattern. If your fleet mix or risk profile changes during a busy period, you can edit the plan's price or description and rely on History to see what the previous version looked like. If a plan is being replaced entirely, deactivating the old one keeps the record while removing it from the booking page.
Best practices
- Offer a basic and a premium plan so customers can choose the level of protection that fits their budget.
- For long rentals, set a max price so a per-day plan does not become too expensive.
- Write descriptions that state what is covered in plain language rather than repeating marketing phrases.
- Keep titles short and distinct so the options are easy to compare on the booking page.
- Use Notes to record the reasoning behind a price and History to check earlier versions before making changes.
- Review plans regularly and deactivate any that no longer reflect what you can support.
Conclusion
Protection plans turn an important but often awkward conversation into a clear set of choices. By giving each plan a meaningful title, an honest description, an appropriate price mode and, where needed, a maximum charge, you make it easy for customers to say yes and easy for your team to explain what they are buying. The result is a better booking experience and a more dependable revenue stream.
