Offer Paid Mileage Packages Customers Can Choose at Booking

Create named mileage packages with their own allowance, price and rules for each fleet category, and let customers add extra distance during online booking.

Mileage is one of the most closely watched numbers in a rental agreement, and one of the easiest places for a booking to turn into a conversation at the counter. Mileage packages in VEVS Car Rental Software give you a structured way to sell mileage allowances that customers choose while they book, with a defined allowance and price for each fleet category.

What mileage packages are

A mileage package is an optional allowance a customer can select during booking. Each package belongs to a fleet category and defines how much distance is included and what that inclusion costs. Rather than applying one company-wide rule, the feature lets you shape the offer category by category, so a city car and a touring vehicle can follow different commercial logic.

Every fleet category also has a Default limit, which is the mileage included before any package applies. Packages sit on top of that baseline, so your standard rental condition stays intact while customers who expect to drive further can buy additional allowance in a way that is visible, priced, and recorded in the reservation.

Why mileage packages matter

Mileage causes friction because expectations differ. One customer needs the car for a short city break, another is crossing several regions, and a third does not yet know how far the trip will go. When mileage is handled informally, staff make judgement calls at the counter that are hard to repeat consistently across locations, shifts, and team members.

Packages turn that uncertainty into a product. The customer sees the allowance and the price, chooses what fits the trip, and the reservation carries the choice from the start. Your team gets pricing defined in advance, the same offer applies to everyone booking that category, and there is far less need for ad hoc negotiation at handover.

Mileage packages are configured per fleet category, not as one global setting, so review your category structure before building the package set.

Where to find the feature

In the admin area, open Prices in the left menu and choose Mileage Packages. The page is organised as a series of sections, one per fleet category. Each section shows the category name with its Default limit, so you can see what is already included before any package applies.

This layout keeps the commercial picture for a category in one place, so you can work down the page and confirm each offer matches how those vehicles are used.

How category sections behave

When a category has a mileage limit, you can click Add package to create one, or Copy to bring packages across from another category. When it is set to unlimited mileage, a note explains that packages cannot be added and points you to where the limit is managed.

That restriction is logical: if a category already includes unlimited distance, an allowance package has nothing to add and would only confuse customers at checkout. To sell packages there, review the limit rather than forcing a package into the category.

The fields inside a package

FieldWhat it controls
NameThe package name, with a button to edit its description.
UnlimitedA switch that makes the package's mileage unlimited.
MileageThe included distance in kilometres or miles, hidden when Unlimited is on.
PriceThe cost, charged either per day or as a total.
BackendKeeps the package available only to staff in the back office.
RecommendedMarks one package as recommended for the category.
SelectedMarks a package to be pre-selected for customers.

The Unlimited switch changes what the row represents: the mileage field disappears and the package becomes an unrestricted option, useful when you want an open-distance choice alongside capped allowances. The Price is paired with a mode, so the same amount can be a daily charge or a total for the rental; match that to how your rates are normally presented.

Creating a package step by step

  1. Open Prices and choose Mileage Packages.
  2. Find the fleet category and click Add package.
  3. Enter a Name, set the Mileage, or switch on Unlimited.
  4. Set the Price and choose per day or total.
  5. Optionally set Backend, Recommended, or Selected.
  6. Click Save.

Working in this order keeps the logic clear: decide what the package includes, then what it costs, then how it is presented.

Adding a package description

Click the edit icon next to a package name to open the Package description dialog, type the text, and click Save. This is the natural place to spell out what the allowance covers in plain language, so the customer is not left to interpret a number on its own.

Good descriptions are short and specific. Avoid restating the price, which is already visible, and avoid promises the package does not make. A sentence or two explaining the allowance is usually enough to prevent a customer arriving with different expectations.

Copying packages between categories

Click Copy on a category to open the Copy packages dialog, choose the categories to copy to, and click Copy packages. Only categories that do not already have packages are shown, which protects existing configuration from being overwritten by accident.

If a category is missing from the list, it likely already has a package. Build one well-considered set, review it, then copy it to the categories that should follow the same structure.

Recommended, Selected, and Backend

Recommended highlights a package for the category, drawing attention to the option you believe suits most rentals. Selected pre-selects a package for customers, so the most common choice is already in place and can simply be confirmed. Only one package per category can carry either flag, which keeps the booking page decisive.

Backend keeps a package available only to staff in the back office, so it is not offered to customers online. This gives your team a controlled way to handle arrangements agreed directly, such as a corporate account, without exposing that option to every website visitor.

What happens after saving

Once saved, packages become available to customers selecting that category during booking. The recommended package is highlighted, the selected package is pre-chosen, and a confirmation message appears when the settings are saved successfully. Wait for that confirmation before moving to the next category.

Editing and saving require permission. Users without it see the page in read-only form, so if a change does not appear to take effect, first check whether the account has update rights.

Practical use cases

City and short-break rentals

A modest allowance priced as a total suits short, local rentals, because the customer sees the full cost of the mileage they are likely to use.

Long-distance touring

For multi-day journeys, a larger allowance or an unlimited package lets the customer plan a route without watching the odometer, while remaining a priced choice.

Best practices for a clean setup

  • Name packages by what they include, not internal codes, so customers can compare without asking.
  • Use Selected for the package most customers should get, and keep that pre-selection stable.
  • Mark only one package as Recommended per category, and make sure it is the best general fit.
  • Build one category carefully, then use Copy to extend the structure to comparable categories.
  • Review unlimited categories before expecting to add packages, since an allowance needs a limit to be meaningful.

Review the package set whenever your fleet categories change; an option that made sense for a previous mix of vehicles can become misleading after a category is reorganised.

Conclusion

Mileage packages let car rental teams sell distance as a clear, priced option rather than an exception handled at the counter. By defining allowances per fleet category, presenting one recommended and one pre-selected choice, and using backend packages for staff-only arrangements, you create a booking experience that is consistent for customers and easier to administer for your team.
