Bookings rarely stay exactly as they were first entered. A customer extends a rental, changes the vehicle, adds a driver, or arrives to collect earlier than planned. Editing a reservation is where your team keeps the record aligned with what is actually happening.
What this feature is
The Edit Reservation page is the working view of an existing booking in VEVS Car Rental Software. It brings the reservation's dates, customer and drivers, pricing, payments, documents, and vehicle condition into one place, organised into tabs. Instead of opening several screens to change a return date and then check whether the price moved, staff work from a single page with a running summary.
The page also carries the operational actions that move a rental through its lifecycle. Confirming, cancelling, handing over the vehicle, receiving it back, and completing the booking are all available here, so the same screen supports both editing and day-to-day counter work. Because the tabs mirror the parts of the rental agreement, it also works as a reference view when a customer calls with a question about their booking.
Where to access it
In the admin area, open the left menu item Reservations and click an existing reservation to open it. The page is titled EDIT RESERVATION followed by the reservation number. At the top you find Notes and History, a Back button, and a Save button.
- Notes — internal notes attached to the reservation for your team.
- History — a record of what has happened to the booking.
- Back — return to the reservations list.
- Save — commit your changes once editing is done.
The seven tabs
Editing is organised into tabs, each responsible for one part of the reservation:
| Tab | What it contains |
|---|---|
| Details | Reservation status, status description, and the pick-up and return timeline |
| Customer & Driver(s) | The customer and the main and additional drivers |
| Self check-in | Self check-in settings, shown only when that feature is enabled |
| Price | Pricing, taxes, and discount |
| Payments | Payments recorded against the reservation |
| Documents | Generated and uploaded documents |
| Vehicle Condition | The pick-up and return condition inspection |
Splitting the page this way matters on a busy shift. A staff member changing a return time does not need to scroll past payment history, and someone checking a contract does not risk altering the price by accident. The Self check-in tab is conditional: it appears only when that feature is enabled for your setup, so a shorter tab bar is normal on some accounts.
Status and quick actions
The Details tab shows the current Reservation status with a short Status description. An Actions area offers quick buttons that change the status in one click:
Confirm
Marks the reservation as Confirmed.
Cancel
Cancels the reservation; you are asked for a cancellation reason.
No Show
Marks the customer as not having arrived.
Hand Over Vehicle
Records the pick-up and hands the vehicle over.
Receive Vehicle
Records the return of the vehicle.
Complete
Marks the reservation as Completed.
Change status opens the Set reservation status window, where you can pick any status. When a reservation is Cancelled, a Cancellation reason field is shown, and you can click it to update the reason. That field can only be changed while the reservation is actually in the Cancelled state.
The quick buttons appear or hide depending on the current status, so only actions that make sense for that reservation are offered. A confirmed booking shows the hand-over action; a completed one does not invite you to hand the vehicle over again.
The Reservation Summary
A summary panel on the right shows the key facts at a glance: Status, Cancellation reason when cancelled, Customer, From date, To date, Days, Pick-up, Drop-off, Vehicle(s), Vehicles subtotal, Extras subtotal, Protection subtotal, Tax total, Return charges, Grand total, Paid, Refunded, and Due.
Most of these values link straight to the tab where you edit them, which is the fastest way to navigate a reservation you have not seen before. The Paid, Refunded, and Due lines are particularly useful when a customer asks what they still owe, because the answer is on screen without opening the payment records.
How to edit a reservation
- Open Reservations and click the reservation to edit.
- Open the relevant tab — Details for dates and locations, Customer & Driver(s) for drivers, or Price for pricing and discount.
- Make your changes.
- Click Save at the top of the page.
For straightforward operational changes, the quick actions are faster than a full edit. Confirming a phone booking, recording a hand-over at the counter, or marking a no-show takes one click rather than a tab change and a save.
What happens next
- Your changes are saved and a confirmation message is shown.
- Status changes take effect immediately and update the colour shown in the reservations list.
- When you hand over or receive a vehicle, the status description updates to reflect where the rental is in its lifecycle.
Business benefits
Keeping the reservation record current is what makes every other view trustworthy. If the return date is corrected on the reservation, availability, pricing, and the hand-over process all follow. If a driver is added but never recorded, the contract and the insurance position are both weaker. Editing in one place, with the summary visible, reduces the chance that a change is made in one system while another view retains the old information.
The quick actions also support a cleaner hand-over conversation. Staff can move a booking from confirmed to handed over to completed in sequence, and the status description gives a shared vocabulary for where the rental stands. For managers reviewing a busy day, the history and the status trail show what happened and in what order, which is far more useful than a single final status.
Practical use cases
Extending a rental
A customer wants two more days. Open Details, adjust the return timeline, save, and use the summary to confirm the new grand total and amount due.
Changing the vehicle
If the reserved vehicle is unavailable, update the selection and review the price tab so the customer sees the revised rate before collection.
Adding a driver
Use Customer & Driver(s) to add the main or additional drivers, keeping the rental agreement accurate.
Counter hand-over
At collection, use Hand Over Vehicle; at return, use Receive Vehicle, then Complete once the rental is closed.
Setup, permissions, and careful edits
Users without permission to manage reservations see the page read-only and cannot save changes. That protects pricing and status from accidental edits by staff who only need to look up a booking, and it is worth reviewing who holds edit rights as your team grows.
Some changes have consequences beyond the reservation itself. Moving dates affects availability, so check the fleet position before confirming an extension. Changing the price or discount affects what the customer owes, and the summary is the quickest way to see the result. Cancelling requires a reason, which means the record explains itself later; if the reason changes, it can only be corrected while the reservation remains cancelled.
Best practices
- Use the Reservation Summary links to jump directly to the tab you need.
- Save after each change rather than batching several edits, so the confirmation tells you what was stored.
- Check availability before extending a rental past its original return date.
- Record the cancellation reason clearly and factually, since it stays on the reservation.
- Update the status at the counter as the vehicle is handed over and returned, not at the end of the day.
- Review History when a booking looks inconsistent, to see how it reached its current state.
Conclusion
Editing a reservation keeps a booking honest: the dates, drivers, price, payments, and condition record all reflect what is really happening. With tabbed editing, one-click status actions, and a summary that links to the detail, staff can make changes quickly and see their effect immediately — which is exactly what a busy rental desk needs.
