Faster Vehicle Pick-up with Digital Handover Checks

Record pickup time, odometer, and fuel level, then complete a guided condition inspection with photos and diagram marks before the vehicle leaves.

All software updates

Check-in is the moment the vehicle leaves your hands and the rental really begins. In VEVS Car Rental Software the pick-up process records the actual handover time, the odometer reading and the fuel or battery level, and captures the vehicle's condition before it drives away. Done well, it protects the customer, the vehicle and your business, and it makes the return comparison straightforward.

What check-in means

Check-in, often called handover or pick-up, is the formal transfer of the vehicle to the customer at the start of a reservation. The software records when the vehicle was collected, how many kilometres or miles it had covered, how much fuel it had, and what condition it was in. Those four pieces of evidence become the baseline for everything that follows: mileage calculations, fuel charges, damage discussions and the final return inspection.

Because the record is created inside the reservation, there is no separate spreadsheet to reconcile. The information stays attached to the booking and to the vehicle, which is exactly where staff need it when the car comes back.

Where to access check-in

Open Reservations in the left menu and open a reservation. The handover itself is performed with the Hand Over Vehicle action in the Details tab, while the condition inspection lives in the Vehicle Condition tab. Keeping the two close together is deliberate: the handover details and the inspection belong to the same physical moment, and staff should treat them as one process rather than two.

Recording the pick-up details

The Hand Over Vehicle window collects three values:

  • Actual pick-up time — the date and time the customer collects the vehicle.
  • Odometer on pick-up — the mileage reading at the moment of handover.
  • Fuel tank level on pick-up — entered with preset buttons from E (empty) to F (full), in steps such as 1/8, 1/4, 1/2, 3/4 and so on.

For electric vehicles the fuel field becomes a Battery level on pick-up value in kWh instead. From this window you can choose Hand Over Vehicle to finish the handover, Proceed to inspection to go straight to the condition check, or Cancel to close without saving.

Why the presets matter: using the predefined fuel steps keeps the reading consistent across staff members. A consistent scale is what makes the fuel charge at return defensible rather than approximate.

Inspecting the vehicle condition

The Vehicle Condition tab and the full-screen Vehicle condition on pick-up window walk you through an inspection checklist. For each item you mark either Pass or Issue Found. When you mark Issue Found, a Vehicle diagram appears and you click the exact spot to add the issue. Under Issue notes you describe each issue marked on the diagram, and under Photos you upload one or more photos for that issue.

Use Save to store the condition, or Save & Generate inspection to also create the inspection sheet. Reset clears the recorded condition if you need to start again. The diagram-plus-photo combination is what turns a verbal disagreement later into a documented fact, so it is worth the extra minute at the counter.

Customer self check-in

If self check-in is enabled for a reservation, the customer can complete part of the check-in themselves. They open the check-in page, enter their Reservation ID and Customer email, and continue. There they see the Vehicle location, a map and any Exact instructions, which is particularly helpful at airport or multi-level parking locations where finding the car can be the hardest part of the journey.

The self-service page also asks for Odometer on pick-up and Fuel tank level on pick-up, and shows an Inspection checklists list where each item is marked OK or Not OK, together with an Interactive Vehicle Diagram for any damage. A Required Photos section asks the customer to take a photo for each requested item, and a Signature section lets them enter their Full name, draw a signature and click Save signature.

Self check-in is most valuable outside opening hours, at remote locations, or during peak periods when the desk queue is long. It shifts routine data capture to the customer while keeping the same structured fields your staff would have filled in.

What happens next

Once the handover is complete, the pick-up time, odometer and fuel level are recorded against the reservation. The recorded condition, issues and photos are stored for later comparison at return, and the status description changes to show that the vehicle has been collected and is currently on rent. That status change is visible to the rest of the team, so the front desk and the fleet view tell the same story.

Important behaviour and special cases

The actual pick-up time, odometer on pick-up and fuel level are all required before the vehicle can be handed over, which prevents half-finished handovers from becoming disputes later. You cannot hand over another vehicle while the current one has not yet been received back, so a reservation must be properly closed out before the next one begins for that vehicle. In customer self check-in, the Save signature button stays disabled until all required photos have been uploaded, which enforces the photo evidence step automatically.

Business benefits

A disciplined pick-up process pays for itself in several ways. It creates an auditable record of the vehicle's state at the start of the rental. It supports accurate mileage and fuel charging at return, because the return values are compared with the pick-up values. It reduces disputes, since issues and photos are captured at the moment they exist. And it keeps the fleet status accurate in real time, which helps the next booking, the next inspection and the next maintenance decision.

For the customer

A clear, quick handover with documented condition and a transparent fuel and mileage baseline. Self check-in adds convenience when the desk is busy or closed.

For the business

Fewer disputes, better charge accuracy, an accurate on-rent status, and a photo record tied to the reservation and the vehicle.

Practical use cases

At an airport counter, the pick-up flow captures the exact collection time when a flight lands late, which matters for late-return calculations. At a city branch with a self-service key box, the customer completes the checklist and photos before driving away. For a long-term corporate rental, the detailed condition record at handover protects both parties over weeks of use. For a mixed fleet with electric vehicles, the battery level field records kWh instead of fuel, so the same process works across petrol, diesel and electric cars without a separate workflow.

Setup and configuration considerations

The inspection checklist items are the heart of the configuration. Choose items that reflect the checks your team actually performs, and keep the list practical so it can be completed in a couple of minutes. If self check-in is used, the exact instructions and vehicle location text should be written for a customer who has never visited the site, and the required photos should be limited to views that genuinely evidence condition. Reserve self check-in for reservations where the customer can reasonably complete it, and keep staff handover available for complex or high-value rentals.

Best practices

Record the odometer and fuel level accurately at handover, because these values are compared again at return to calculate mileage and fuel charges. Use Proceed to inspection from the handover window to capture the condition and the handover details in one go, rather than returning to the reservation later. Photograph damage from a sensible distance as well as close up, and write issue notes that a colleague who was not present could understand. Never hand a vehicle over without the three required values, and check the condition even when the customer is in a hurry.

Conclusion

Check-in is a short process with a long reach. By recording the actual pick-up time, odometer and fuel or battery level, and by inspecting the vehicle with a checklist, diagram and photos, your team creates a reliable baseline for the whole rental. Whether staff complete the handover at the counter or the customer uses self check-in, the result is the same: a documented start, a smoother return, and fewer surprises for everyone involved.
