Connect VEVS Car Rental Data to ChatGPT and Claude

The VEVS AI Assistant links your car rental software to AI platforms through MCP, so teams can query and update reservations, vehicles, and more in plain language.

All software updates

The VEVS AI Assistant connects your car rental software account to AI platforms such as ChatGPT and Claude, so your team can ask questions and complete supported tasks in plain language instead of navigating administration pages. For a busy rental desk, that means faster answers about availability, bookings and vehicle condition without leaving the conversation you are already having. This guide explains what the assistant does, how the connection is set up, and how to use it responsibly.

What the VEVS AI Assistant is

The AI Assistant is a bridge between your VEVS Car Rental Software account and a compatible AI platform. Once connected, you describe what you need in ordinary language, and the AI platform interprets the request and uses the appropriate VEVS tools to carry it out. You are not learning a new dashboard or a query language. You are having a conversation with your own rental data while the software does the work behind the scenes.

Depending on the tools VEVS provides and the permissions attached to the account you connect, the assistant can work with reservations, vehicles, availability, customers and drivers, locations, rates, extras, handover and return, vehicle condition, maintenance, damages, payments, documents, reports and software settings. The tool set grows over time, so it is always worth asking what is possible.

How the connection works

VEVS provides a secure connection between your car rental software and compatible AI platforms. The connection uses the Model Context Protocol, usually shortened to MCP, an open standard that allows AI applications to connect to external software and tools. MCP is the technical plumbing; you do not need to understand it and you do not need to write code to use the assistant.

In normal use the process is short. You open the MCP connection settings inside VEVS, connect VEVS to a supported AI platform, authenticate with your VEVS account details, and start a conversation. From that point onward you ask questions or give instructions in natural language, exactly as you would to a knowledgeable colleague who happens to have the administration panel open.

Keep in mind: available actions depend on the tools currently provided by VEVS and on the permissions associated with the VEVS account you connect.

Where to find the MCP settings

Inside your VEVS administration panel, the connection settings live under Software Admin → Connections → MCP. This page contains everything required to connect your account to supported AI platforms, and it displays your Account ID, the identifier VEVS uses when a connection is made through MCP.

SettingValue or location
MCP server addresshttps://mcp.vevs.com/
Account IDSoftware Admin → Connections → MCP
Admin EmailYour VEVS administration login
Admin PasswordYour VEVS administration password

Use the credentials of an administrator who has permission to reach the information and functions you intend to use; an account that is too limited cannot reach the data you need.

Connecting VEVS to ChatGPT

ChatGPT connects to external services through custom apps that support MCP. Exact menu names and options can differ by plan and workspace configuration, so treat the following as the typical path. Open Settings then Apps, and if your workspace requires it, enable the option that allows custom MCP apps or developer connections.

Choose the option to create or add a custom app and name it something recognizable, such as VEVS Car Rental. For the MCP server URL enter https://mcp.vevs.com/ and continue. ChatGPT will connect to the VEVS MCP server and detect the available tools. When authentication is requested, enter your Account ID, Admin Email and Admin Password.

Connecting VEVS to Claude

Claude connects to remote MCP servers through custom connectors. Open the connector area, typically under Customize then Connectors, and add a custom connector. Name it VEVS Car Rental, enter the remote server URL https://mcp.vevs.com/, and continue. Claude will connect and identify the available tools. Authenticate with the Account ID, Admin Email and Admin Password belonging to the same VEVS account.

What you can ask the assistant to do

The most common starting point is a simple question. For reservations you might ask to see bookings starting today, confirmed bookings that have not yet been handed over, or the full details of a specific reservation. You can ask the assistant to cancel a reservation because the customer changed plans, or extend one by two days when a trip runs longer than expected.

For vehicles, it can list the fleet, show vehicles at a particular location, filter by make, check availability for a date range, or block a vehicle that is off the road. For locations you can ask what exists, the opening hours on a given day, a branch phone number, or whether drop-off somewhere should be disallowed.

Rates and pricing work the same way: ask for the base rate for a category, the available rental periods, or set a rate to a new value when that tool is permitted. Handover and return are supported too. When you ask to hand over a reservation, the assistant may request the odometer reading, fuel level and vehicle condition, which you can supply conversationally. For returns you can ask it to receive the vehicle. Maintenance questions cover tasks for a specific vehicle, upcoming work and overdue items, and customer requests include viewing details, setting the main driver or correcting a date of birth.

Read actions, update actions and verification

Read actions retrieve information without changing anything in your account: listing vehicles, showing today's reservations, checking branch opening hours or viewing rates for a category. Update actions change information or perform an operation, such as blocking a vehicle, updating a customer's phone number, changing a pickup date, adding a maintenance task, recording a payment or changing a rental rate. The AI platform may request confirmation before executing certain actions.

For important changes, verify the result afterwards. If you moved a pickup date, ask the assistant to show the reservation again, or check the record in the administration panel. Verification matters most for reservation dates, vehicle assignments, rates, payments, availability, customer and driver details, handover and return data, and location settings.

Permissions and security

The assistant can expose operational information about your business, so the connection credentials deserve the same care as any administrator login. Only connect your account to AI platforms and MCP clients you trust, and be deliberate about which administrator account you use. Do not share your administrator password, publish your credentials, or include passwords in public screenshots. Avoid connecting to unknown MCP clients, and do not give employees administrator access they do not need.

Because the assistant can only perform actions allowed for the connected account, permissions are the real boundary. If someone should see reservations but not change rates, reflect that in the VEVS account.

Troubleshooting common situations

If the connection fails, confirm the server URL is exactly https://mcp.vevs.com/, then check the Account ID, Admin Email and Admin Password and make sure they belong to the same VEVS account. The Account ID is under Software Admin → Connections → MCP.

If the assistant cannot perform an action, not every panel function is exposed as an AI tool; ask whether it can be done with the available VEVS tools, and otherwise complete it in the panel. If the wrong account appears, recheck the Account ID and administrator email. If recent changes are not visible, ask it to retrieve the record again or start a new conversation.

Best practices for everyday use

Start a new conversation for a new topic. Separate conversations for reservations, vehicles, rates, customers, locations, maintenance, reports and settings keep context clear and can reduce token usage. Be specific about dates, vehicle codes and reservation numbers, and phrase changes as clear instructions.

Treat the assistant as a fast helper, not an unchecked authority: verify consequential changes and confirm each step of a multi-step request before moving on.

Conclusion

The VEVS AI Assistant turns your rental data into a conversation. By connecting your account through MCP and authenticating with the right administrator credentials, your team can query reservations, availability, rates, maintenance and customer records, and perform supported updates without leaving the chat window. Used with sensible permissions and a habit of verifying important changes, it becomes a practical daily companion for car rental owners, managers and front-desk staff who want answers faster and admin work lighter.
