Vehicle categories are the groups you use to organize your fleet. Instead of managing every car individually, you create a category such as Economy, SUV, or Luxury, describe its characteristics, and then assign individual vehicles to it. The category then controls how those vehicles are presented, priced, and protected as a group.

How it works

  • Each category has a name (title), a short description, and a full description, plus basic characteristics like fuel type, transmission, number of doors, passenger capacity, and luggage capacity.
  • You attach photos so the category looks appealing in booking screens.
  • You can attach equipment items, protection plans, and pricing rules to a category.
  • Individual vehicles are then linked to one or more categories. Whatever the category defines is inherited by the vehicles assigned to it.

Where to access it

In the admin area, open the Fleet Categories page. You will see a table listing every category with its image, title, description, number of assigned vehicles, and status. Click any row (or its Edit button) to open and change that category. Use Add Category to create a new one.

What a category contains

Details

  • Status – Active or Inactive. Only active categories are offered as bookable choices.
  • Title – the category name (required). If the system runs in multiple languages, you enter a title for each language.
  • Short description and Full description – the text shown to customers.
  • Fuel type – Diesel, Petrol, Gas, Electric, or Hybrid.
  • Number of passengers and Pieces of bags – the capacity shown to customers.
  • Number of doors and Transmission – Automatic, Manual, or Semi-automatic.
  • Available branches – if the business has multiple branches, you can tick which branches this category can be booked from.

Equipment

Tick the equipment items that belong to this category (for example, GPS, child seat, roof rack). These are defined separately and can be added or removed here.

Protection plans

  • Included protection – a switch that lets you describe a protection package that is already built into the rental price. When switched on, you enter its title and description.
  • For each available protection plan you can set whether it is Available, Required, and/or Pre-selected for this category, and optionally Block other plans.
  • Required protection packages options – controls how many of the required plans a customer must take: all of them, at least one of them, or exactly one.

Photos

  • Upload one or more photos. The first photo is used as the category thumbnail.
  • You can drag photos to reorder them, and use the AI tools to remove or change a photo's background.
  • Diagram – choose the car outline drawing used to mark damage during vehicle inspections.

Rates & fees

When editing an existing category, a Rates & Fees panel summarizes the pricing attached to that category. Each item links to its own settings page where you can change it:

  • Rates – the daily rental prices, showing the lowest and highest.
  • Mileage limit – unlimited, or a fixed included distance per day or in total.
  • Security deposit – the amount charged as a deposit.
  • Age restriction – the minimum driver age for this category.
  • Young Driver Fee – an extra fee for younger drivers (shown only when enabled).
  • Late return fees – charges for returning the vehicle late.
  • Relocation fees – charges for returning to a different location.
  • Pick-up & Drop-off fees – location-based charges.

What happens next

  • After you save a new category, any fee settings that are configured as "same for all categories" are copied to it automatically, so you do not have to re-enter them.
  • The category appears in the list, sorted by name.
  • When you save an existing category, your changes are recorded and can be reviewed later under History.
  • You can add internal Notes to a category for your own team.

Important behavior and special cases

  • A category must have at least one assigned vehicle to be available for booking. If a category has no vehicles, a warning icon appears next to its vehicle count.
  • The Vehicles assigned number in the list is a link: clicking it opens the fleet list filtered to show only the vehicles in that category.
  • You can search the list by title, description, or transmission using the search box.
  • The title is required, and the passenger, bag, and door numbers must be whole numbers (no decimals or negative values).
  • If you use multiple languages, the system warns you when the same title or description is repeated in more than one language.
  • Deleting a category removes the category and its settings, so be careful before deleting a category that is still used.

Tips

Tip Name categories in a way customers recognize (for example, "Compact", "SUV", "Premium") rather than by internal code.
Tip Set the passenger, bag, and door numbers accurately, as these are shown to customers when comparing vehicles.
Tip Keep the first photo clean and representative, since it becomes the thumbnail everywhere the category appears.
Tip Review the Rates & Fees panel after creating a category to confirm the right pricing, deposit, and age rules are in place.
