Each reservation carries a status that shows where it is in the rental lifecycle. The status appears as a coloured dot and label in the reservations list and as a colour-coded value on the reservation page.
Where to access it
Open the left menu item Reservations. The list shows every reservation with its status in the Status column, next to a coloured dot. Clicking a reservation opens its page, where the status is shown at the top of the Details tab.
The six statuses
- New (light blue) – the reservation has been created and is waiting to be confirmed.
- Not Confirmed (amber) – the reservation details are pending confirmation from the customer.
- Confirmed (green) – the reservation is confirmed and ready for handover. Once the vehicle is collected, the rental is on rent; once all vehicles are returned, the reservation can be updated to Completed.
- Completed (blue) – the vehicle has been returned and the reservation is finished.
- No show (purple) – the customer did not arrive for the scheduled pick-up.
- Cancelled (red) – the reservation has been cancelled and is no longer active.
How a reservation moves through the lifecycle
A typical reservation starts as New or Not Confirmed, moves to Confirmed once everything is agreed, and then to Completed after the vehicle is handed over and returned. Two alternative endings exist: No show when the customer never arrives, and Cancelled when the booking is cancelled.
How the status changes
- When creating a reservation you can choose New, Not Confirmed, or Confirmed.
- On the reservation page, quick actions change the status: Confirm, Cancel, No Show, and Complete.
- Change status opens the Set reservation status window, where you can select any of the six statuses.
- Handing over a vehicle records the pick-up, and the status description changes to show the vehicle is on rent, while the status itself stays Confirmed until you click Complete.
Important behavior and special cases
- Cancelling a reservation requires a cancellation reason.
- A cancelled reservation shows its cancellation reason on the reservation page, and the reason can be edited while the reservation is cancelled.
- No show is used when the customer does not appear, as opposed to Cancelled, which means the booking itself was called off.
Tip
Use the status colour in the list to spot late or stuck reservations at a glance – for example, bookings still Not Confirmed close to their pick-up date.
