Relocation fees are charges applied when a customer returns a vehicle to a different location than where they picked it up — a one-way rental. You set the fee for each pair of pick-up and drop-off locations and for each vehicle category.
What they are for
When a car is left at a different branch, the business may have to move it back, which has a cost. Relocation fees let you recover that cost by charging an amount that depends on the specific route (for example, "Burgas Airport to Varna City Center") and on the type of vehicle booked.
Where to access them
In the admin area, open the Fees section and choose Relocation Fees. The page shows a grid:
- Each row is a pick-up and drop-off location combination (for example, "Burgas Airport - Varna City Center").
- Each column is a vehicle category.
- Each cell contains a single fee amount for that route and category.
Main settings
Collect relocation fees
A switch at the top of the page controls whether these fees are charged at all.
- On – the fee grid is shown and fees are added to one-way bookings.
- Off – the grid is hidden and no relocation fees are collected, even if amounts were previously entered.
Set same price
A second switch lets you use one fee for every route instead of a different fee per route.
- Off (default) – you set each route's fee individually in its own row.
- On – the individual rows are replaced by a single row called "Set the same fee for all locations", where one fee per category is applied to every route.
How to use it
- Make sure Collect relocation fees is switched on.
- Choose whether to set a different fee per route or the same fee for all routes.
- For each route and category, enter the fee amount.
- Click Save.
To speed things up, small buttons let you fill or clear several cells at once:
- Column buttons (on each category heading) – set or reset the fee for that category across all routes.
- Row buttons (on each route) – set or reset the fee for that route across all categories.
What happens next
- After saving, your changes apply immediately to future bookings.
- When a booking has a different pick-up and drop-off location, the system looks up the fee for that route and category and adds it automatically as a Relocation fee line.
- The fee is charged once per booking, regardless of rental length.
- Your changes are recorded, so you can review them later under History.
- You can add internal Notes to this page for your team.
Important behavior and special cases
- A relocation fee is charged only when the drop-off location differs from the pick-up location. Same-location (round-trip) rentals are never charged a relocation fee.
- Each direction is treated separately: "A to B" and "B to A" are different rows, so you can charge different amounts in each direction.
- At least two locations must exist for the grid to appear; otherwise a message tells you to add more locations first.
- Fee amounts must be positive numbers (up to two decimal places). Negative amounts or non-number entries are ignored.
- If you leave a cell empty, no fee is charged for that route and category.
- If the Collect relocation fees switch is off, the system ignores all configured amounts until you switch it back on.
- When "Set same price" is on and you later create a new vehicle category, the shared fee is copied to that new category automatically.
