Location-based fees are extra charges that depend on where a vehicle is picked up or returned, and which vehicle category is booked. For example, you can charge more when a customer picks up at an airport than at a city-center branch, and set a different amount for an SUV than for a compact car.
What they are for
These fees let you add location-specific surcharges to a booking. They are useful when some of your locations are more expensive to operate (for example, airports, ports, or remote branches) and you want that cost reflected automatically in the price based on the location the customer chooses.
Where to access them
In the admin area, open the Fees section and choose Pick-up & Drop-off Fees. The page shows a grid:
- Each row is a pick-up/return location.
- Each column is a vehicle category.
- Each cell contains two amounts: a Pick-up fee and a Return fee.
Main settings
Collect location based fees
A switch at the top of the page controls whether these fees are charged at all.
- On – the fee grid is shown and fees are added to bookings.
- Off – the grid is hidden and no location-based fees are collected, even if amounts were previously entered.
Set same price
A second switch lets you use one fee for all locations instead of a different fee per location.
- Off (default) – you set each location's fees individually in its own row.
- On – the individual rows are replaced by a single row called "Set the same fee for all locations", where one pick-up fee and one return fee per category is applied to every location.
How to use it
- Make sure Collect location based fees is switched on.
- Choose whether to set a different fee per location or the same fee for all locations.
- For each location and category, enter a Pick-up fee and/or a Return fee.
- Click Save.
To speed things up, small buttons let you fill or clear several cells at once:
- Column buttons (on each category heading) – set or reset the pick-up/return fee for that category across all locations.
- Row buttons (on each location) – set or reset both fees for that location across all categories.
What happens next
- After saving, your changes are applied immediately to future bookings.
- When a customer (or staff member) selects a vehicle category and a pick-up location, the system adds that location's pick-up fee and return fee to the booking automatically as a Pick-up and drop-off fee line.
- The fee is charged once per booking based on the pick-up location and category, regardless of rental length.
- Your changes are recorded, so you can review them later under History.
- You can add internal Notes to this page for your team.
Important behavior and special cases
- Fee amounts must be positive numbers (up to two decimal places). Negative amounts or non-number entries are ignored.
- If you leave both the pick-up and return fields empty for a location/category, no fee is charged for that combination.
- If the Collect location based fees switch is off, the system ignores all configured amounts until you switch it back on.
- When "Set same price" is on and you later create a new vehicle category, the shared fee is copied to that new category automatically.
- If no fleet categories or no locations exist, the grid cannot be shown; you must create those first.
