Process the vehicle return: record the return time, odometer and fuel level, inspect the vehicle's condition, apply any return charges, and close the rental.

Where to access it

Open the left menu item Reservations, then open a reservation to reach the check-out. The return is recorded with the Receive Vehicle action in the Details tab, and the condition inspection lives in the Vehicle Condition tab.

Recording the return details

The Receive Vehicle window collects three values:

  • Actual return time – the date and time the vehicle is returned.
  • Odometer on return – the mileage reading at return.
  • Fuel tank level on return – the fuel level, entered with the preset buttons from E (empty) to F (full). For electric vehicles this is a Battery level on return value in kWh instead.

From this window you can Receive Vehicle to finish the return, or Proceed to inspection to go straight to the condition check.

Applying return charges

The Return details window (opened with Return details & fees) shows the return readings alongside a Fees panel where you apply charges:

  • Extra mileage fee due – tick the checkbox and set the amount charged for distance beyond the included mileage.
  • Fuel fee – tick the checkbox and set the amount charged for returning with less fuel than at pick-up.
  • Return fees – any return fees you have set up appear here and can be added to the return.

Late-return charges are handled separately through the late return settings, which apply penalties when a vehicle comes back after the scheduled drop-off time.

Inspecting the vehicle condition on return

The full-screen Vehicle condition on return window walks you through the same checklist as pick-up. For each item you mark Pass or Issue Found, and for issues you mark the spot on the Vehicle diagram, describe it under Issue notes, and attach Photos. Use Save to store the condition, or Save & Generate inspection to also create the return inspection sheet.

Closing the rental

After the vehicle is received and any charges are applied, use the Complete action to mark the reservation as Completed. The return charges are added to the reservation total, which is reflected in the Return charges and Grand total shown in the summary.

What happens next

  • The return time, odometer, and fuel level are recorded against the reservation.
  • The vehicle's mileage reading is updated to the return value.
  • Applied return charges appear in the reservation total and are reflected in the summary.
  • The reservation can be moved to Completed to close it.

Important behavior and special cases

  • The Actual return time, Odometer on return, and fuel level are all required before the vehicle can be received.
  • Return fees are only offered on the return inspection for the vehicle categories they have been assigned to.
  • Extra mileage and fuel charges are applied by ticking their checkbox and entering an amount.
Tip Compare the return odometer and fuel level against the values recorded at pick-up – the difference is what drives the extra mileage and fuel charges.
Tip Complete the return inspection before clicking Complete, so the final charges and condition are captured together.
