The Challenge
MasterDrive did not need a generic booking form. It needed a rental platform that could be configured and extended around the realities of operating a growing independent car rental business in Barbados.
Over time, several operational requirements became especially important. The company needed more flexible payment choices for advance and long-term reservations, a way to apply the Barbados Vehicle Hire Levy without overcharging longer rentals, better visibility of alternative dates when a vehicle was unavailable, and support with payment-gateway configuration in a local banking environment.
The team also needed practical guidance with website and software setup, insurance-related configuration, and online marketing. As a smaller operator in a competitive tourism market, MasterDrive wanted its own website to do more: generate direct reservations, explain rental conditions clearly, and help international visitors discover the company through search.
The VEVS Solution
VEVS combined standard software configuration, consultation, website work and targeted custom development instead of forcing MasterDrive to change its business process to fit a fixed system.
Flexible “Pay Deposit” or “Pay in Full” checkout
MasterDrive wanted customers to decide whether to secure a reservation with a deposit or pay the complete rental price immediately, while keeping the existing payment-method selection for card, PayPal, bank transfer, cash and other available methods.
VEVS developed a custom payment-amount choice alongside the normal payment-method selection. The deposit percentage is configurable, and MasterDrive can also define how close to pickup the booking must switch automatically to full payment only. This gives customers more flexibility for longer or advance bookings without changing the total reservation price.
Barbados Vehicle Hire Levy calculation
Barbados introduced a mandatory Vehicle Hire Levy of US$2.50 per rental day with a maximum charge of US$17.50, equivalent to seven chargeable days. A normal unlimited per-day tax rule would overcharge rentals longer than seven days.
VEVS adapted the calculation to the local requirement so the charge can accumulate by rental day and stop automatically at the statutory cap. The result is a booking flow aligned with a country-specific rule rather than a generic tax model.
Custom availability calendar for sold-out vehicle types
With a small fleet, losing a booking simply because the selected dates were unavailable was a real concern. MasterDrive wanted customers to see when the preferred vehicle type would become available again without restarting the search blindly.
VEVS developed a custom availability calendar within Step 2 of the online booking process. When a vehicle type is sold out, customers can use a “See Availability” option to view alternative dates. The existing “Change Dates” flow remains available, giving customers another route to continue the reservation rather than abandon it.
Hands-on setup, configuration and operational consultation
At launch, MasterDrive needed more than software access. The team needed help connecting the domain, configuring business email and SMTP delivery, understanding online and offline payments, and learning how reservations should move through the system.
VEVS supported the launch through ticket-based assistance and online consultation. The team diagnosed the Gmail SMTP authentication issue, guided the client through the required App Password setup, helped connect the business email, and explained payment, confirmation and reservation workflows. This support turned the software from a set of functions into a working day-to-day operating process.
Support for a Barbados-specific online payment environment
MasterDrive’s available banking and payment options were more limited than in many larger markets. Configuring CyberSource required coordination between the rental company, its bank, the payment provider and the website.
VEVS helped MasterDrive identify the required gateway credentials and callback information, reviewed test scenarios, explained how successful payment notifications affect reservations, and enabled payment logging when deeper troubleshooting was needed. The support process helped the client work through a payment setup involving several external parties rather than leaving them to solve the integration alone.
SEO, website content and direct-booking support
MasterDrive operates in a competitive tourism market and wanted to attract more visitors directly through its own website without depending entirely on large commission-based booking platforms.
VEVS researched Barbados-focused search terms, improved website copy, prepared social media content and created three destination-focused “Places to Visit” pages. The team also worked with MasterDrive on the website navigation so the new content could be published without compromising important rental information.
The process combined the website builder with hands-on marketing assistance, giving MasterDrive a stronger content base for organic search and direct customer acquisition.
Insurance options configured by vehicle type
MasterDrive needed different insurance or excess-waiver pricing depending on the type of vehicle being rented.
VEVS showed the team how to configure separate protection options and assign them only to the relevant vehicle types. Customers therefore see the insurance option and price that correspond to the vehicle they choose, without requiring an unnecessary custom development project.
Results
- 2 payment paths at checkout: customers can pay a configurable reservation deposit or the full rental amount, with full payment automatically enforceable close to pickup.
- Local levy handled correctly: US$2.50 per day with the charge capped after 7 days at US$17.50, matching the Barbados Vehicle Hire Levy structure.
