The Challenge
Premier Van Rental Services needed its booking platform to reflect the way the business actually prices rentals, communicates with customers and manages reservations created both online and by staff.
The most important requirements centered on pricing transparency and tax accuracy. Customers needed to see the rental rate, tax and total earlier in the booking journey, while the back-end had to preserve the same tax logic when staff created or edited reservations. The company also needed separate communication for manually entered reservations and a more efficient way to prepare rental agreements for electronic signature.
Beyond these specific developments, the client regularly used VEVS consultation to decide when a custom feature was justified and when an existing setting or a simpler workflow would solve the problem better. This included seasonal minimum-rental rules, quote requests, payment processing, email delivery and other operational details.

VEVS combined software configuration, operational consultation, technical support and targeted custom development to adapt the platform around Premier Van Rental Services' actual workflow.
Transparent tax and total pricing in Step 2 of the booking process
Premier Van Rental Services wanted customers to understand the real rental cost earlier in the booking journey. The base daily rate had to remain tax-exclusive, while the MVR tax and the total including tax needed to be visible before customers moved on to extras and checkout.
VEVS reviewed the client's quotation idea and recommended a simpler solution instead of duplicating the entire booking engine. The tax was configured as VAT/GST, and VEVS delivered a custom modification to Step 2 showing the base rental amount, the tax, the total including tax, and the rental calculation breakdown such as the number of rental days multiplied by the daily rate.
Reliable tax calculations for online and manually managed reservations
Tax accuracy was essential because the client uses reservation records for financial and quarterly tax reporting. At different points, manually created reservations did not populate the MVR tax correctly, and editing an existing reservation could reset the tax to zero and alter the total and required deposit.
VEVS investigated the front-end and back-end workflows and corrected the calculation logic so the tax was applied correctly to manually created reservations and preserved when reservations were edited. When later changes caused tax-inclusive values to appear in the base-rate details and notification tokens, VEVS also adjusted those outputs so the daily rate remained tax-exclusive and the tax stayed clearly separated.
A dedicated manual notification for staff-created reservations
The business receives reservations both online and manually, for example when a customer calls. The standard “Reservation Made” notification was already tied to online reservations, but the client needed a different message that staff could send manually without triggering duplicate automated communication.
VEVS developed a new notification event type called “Other.” It is intentionally not linked to any automatic system event. Premier Van Rental Services can configure its content like other notifications and manually send it from the Edit Reservation screen whenever a staff-created reservation requires a dedicated customer message.
Rental agreement and eSignature workflow consultation
The client wanted to reproduce its existing rental agreement inside VEVS, prefill reservation information automatically, add reservation-specific information manually and send the completed document to the customer for electronic signature. After creating an HTML template, however, the preview, eSignature placement and generated PDF did not match the intended layout.
VEVS first advised how document tokens, HTML tables and editable content could be used for the agreement. The development team then diagnosed the actual formatting problems. A float:left rule in the client's HTML caused the eSignature section to appear at the top, and fixed width and height attributes in table cells caused the PDF misalignment. VEVS removed the eSignature positioning issue and clearly identified what would need additional HTML reworking.
Seasonal pricing and minimum-rental rules for high-demand periods
Holiday and event periods required tighter control over pricing and booking length. The client experienced a revenue loss after a seasonal custom rate was configured without the required reservation-length criteria and later wanted minimum rentals of three, four or seven days around major holidays.
VEVS explained how custom rates depend on both the applicable date range and reservation length and updated the client's installation so a custom rate could not be created for an invalid zero-day period. When the client later asked for seasonal minimum stays, VEVS identified the existing seasonal minimum-booking-length setting and showed how to use it, avoiding unnecessary custom development.
Online payment continuity and Authorize.Net support
Online payments are critical to the reservation process. When Authorize.Net changed its integration methods, payments stopped working correctly, creating an immediate risk to online bookings. The client also needed ongoing guidance around deposits, payment links and payment-related configuration.
VEVS investigated the failure, identified the external Authorize.Net integration change and delivered an emergency compatibility fix. After testing revealed a second issue, another fix was applied and the client confirmed payments were working normally again. VEVS also provided practical guidance on advance-payment links, security-deposit workflows and gateway-related website setup.
Consultation that avoided unnecessary development
The client explored several additional workflows, including hourly rentals with a driver and a separate automated quote process. Building dedicated engines for these requests could have added significant development cost and operational complexity.
VEVS reviewed how frequently the services were needed and how the existing reservation process already handled availability and pricing. For occasional hourly rentals, VEVS recommended starting with a simple inquiry form. For quote requests, the team recommended using the existing booking flow to show rates and availability and concentrating development on the higher-value Step 2 pricing improvement. The client accepted both recommendations.
