The Challenge

Asco Car Hire needed far more than a standard online booking engine. Its large 4x4 fleet, safari-focused rental model, international clientele and agent network required software that could centralize operations while adapting to complex existing business processes.

Before implementing VEVS, reservations were often handled through email and booking management relied heavily on paper. Data was not centrally accessible, creating unnecessary manual work and more opportunities for human error. The company needed a digital workflow that could support reservations, fleet allocation, extras, cross-border permits, agent sales and customer servicing from one shared platform.

Financial operations were equally demanding. Asco required Namibian Dollar and Euro handling, specialized exchange-rate rules, complex invoicing for two business entities, Xero accounting integration, multiple payment gateways, flexible discounts and detailed reporting. The solution also needed APIs for external systems, Power BI analytics, broker connectivity and future growth.

Centralized reservations and advanced fleet planning

Asco needed to replace fragmented email and paper-based booking management with a centralized system that could coordinate more than 250 specialist 4x4 vehicles and support long-term fleet planning.

VEVS customized the fleet availability calendar with drag-and-drop reservation distribution, an extended planning horizon, provisional reservations and “ghost vehicles” for temporary allocation. The result gave the team real-time visibility over reservations and vehicle usage and reduced the manual effort required to optimize fleet occupancy.

Dedicated agent booking and invoicing workflows

Asco works with B2B travel and booking partners that need to check availability, make reservations and manage customers without relying on repeated email communication.

VEVS implemented multi-user agent accounts, specialized discounts, flexible billing and automated agent invoicing. Agents can access live availability, create their own bookings and work through a dedicated portal, while customers can complete online check-in after an agent creates the reservation.

Dual-currency pricing for international customers

Many Asco customers come from the Euro area, while the company also operates in Namibian Dollars. A simple currency converter was not enough because exchange-rate treatment needed to vary by booking source and operational context.

VEVS developed a multi-currency setup supporting Namibian Dollars and Euros with tailored exchange-rate rules and source-specific conditions for website, agent and back-office bookings. This allows Asco to provide international customers with easier pricing and invoicing in a familiar currency.

Complex invoicing and Xero accounting integration

Asco required invoicing for two separate business entities, partial invoicing, multiple discount levels and accounting data that matched the structure required by Xero.

VEVS created custom invoice templates and automated financial calculations, then integrated the rental system with Xero using tailored data mapping. This reduced duplicate work and made invoice and accounting reconciliation more consistent across systems.

Integrated payments and advanced insurance rules

The operation needed several payment methods for customers from different markets, together with more advanced control over deposits, refunds, authorization and insurance.

VEVS integrated DPO, InPay and Mollie and supported PayPal, bank transfer and iDeal. Administrators can charge or authorize cards, process refunds and manage payments from the system. Insurance logic was also adapted for conditions such as young drivers and long-term rentals, together with automated balance collection.

Extras and cross-border travel automation

Safari rentals often include accessories, additional drivers, border requirements and other services that must be available for the correct dates and vehicles.

VEVS added advanced extras management with categories, availability calendars and usage reports. Cross-border permit fees can be calculated automatically according to pickup and drop-off conditions, and permits can be added when vehicle relocation or itinerary rules require them.

Operational reporting, API access and Power BI analytics

A growing fleet requires management information that can support operational decisions, pricing, purchasing and performance analysis rather than relying only on individual bookings.

VEVS provided occupancy, extras and agent performance reports, automated daily CSV exports for upcoming reservations, an extended OpenAPI for mobile and broker connectivity, and API-based data export to Power BI. Asco can use this information for annual comparisons, fleet-purchase planning, vehicle-model decisions and pricing analysis.
